1. What We Collect
We collect information you provide when you sign up and use Captain HQ:
- Account information - name, email address, and phone number
- Usage analytics - how you interact with the platform, pages visited, and features used
- Tennis data - rosters, lineups, match scores, player availability, and other team management data you enter
2. How We Use It
We use your information to:
- Provide the service - manage your teams, build lineups, coordinate matches, and deliver AI-powered recommendations
- Improve the product - understand usage patterns to make Captain HQ better for all captains
- Communicate about your account - send transactional emails, service updates, and respond to support requests
- Send optional text messages - when you expressly opt in, send recurring account and team-management texts such as availability requests, lineup and schedule updates, match and practice reminders, and score-entry reminders. If you separately request phone verification, we send one verification text for that request. Message frequency varies. Message and data rates may apply. Reply HELP for help and STOP to opt out.
3. What We Share
We do not sell your personal data. We share information only in these limited circumstances:
We do not share mobile phone numbers, SMS opt-in data, or messaging consent with third parties or affiliates for marketing or promotional purposes. We may share mobile information only with service providers that help us deliver and support the messaging service. SMS opt-in data and consent are excluded from all other data sharing.
- USTA - for league operations such as roster submissions and match reporting, only at your direction
- Service providers - trusted partners who help us operate the platform, including hosting infrastructure and email delivery services
4. Cookies & Analytics
We use standard web analytics to understand how Captain HQ is used and to improve the experience. We use session cookies to keep you signed in. We do not use third-party advertising cookies.
5. Data Retention
We retain your data for as long as your account is active. If you close your account, we will delete your personal data upon request. Aggregated, anonymized data may be retained for analytics purposes.
6. Your Rights
You have the right to:
- Access your personal data and download a copy
- Correct any inaccurate information
- Delete your account and associated data

7. Deleting Your Account and Data
You can request deletion of your Captain HQ account and associated personal data at any time by emailing support@captainhq.ai from the email address associated with your account, or by using the Help & Support area inside the app. To protect your account we may ask you to confirm the request from your account email address.
When we complete a deletion request, we remove:
- your profile, contact details, and authentication records;
- your availability, RSVP, lineup, and messaging history tied to your account; and
- any push-notification subscriptions associated with your devices.
We aim to complete verified deletion requests within 30 days. Certain records may be retained where required by law, to resolve disputes, or to enforce our agreements; any data we retain is kept only as long as necessary for those purposes. Aggregated or anonymized data that can no longer identify you may be retained for analytics.
8. Children
Captain HQ is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us so we can promptly remove it.
9. Changes
We may update this Privacy Policy from time to time. If we make material changes, we will notify you via email before the changes take effect.
